Being Very Specific About Your Availability in Outlook 97/2000 Everyone knows there are different degrees of availability. Sometimes, you'll want to indicate on your calendar that you are available, even though your calendar lists a block of time as occupied. Other times, you'll want to let everyone know that your appointment has taken you out of the office. To indicate whether you're free or out of office during a scheduled appointment, open the appointment or meeting item on your calendar. In the "Show Time As" list, click Free or Out of Office. On the File menu, click Save.
